Old Weston Parish Council AGM 2008Minutes of the Annual Meeting of the Council (AGM)Held on 16th May 2008 at 8.45pm
Declaration of Interests: Clerk asked if anyone had any interests to declare before the meeting commenced, none raised. Mrs F Jack proposed and Mr F Langley seconded that the minutes of the last annual meeting were a true and accurate record. Elections: Clerk asked Chair to stand down and held new elections. Mr George Southgate was asked by the councillors to stand again for a further year. Mr Southgate accepted but stated that this may well be his last year. Mr Barritt was asked to stand as vice chair, he also accepted. Mr F Langley offered a vote of thanks to Mr Southgate for another good years work and welcomed him standing again for a further year.
Current issues: Clerk explained that she was once again in the midst of the audit process and that the internal auditor Mr Landon had sadly not been able to complete his work due to serious ill health, all agreed that Mr Landon was the best person for the job and that the internal audit would have to be delayed for the time being but reviewed in due course. Chair went through the annual return with councillors, clerk explained all payments and receipts. All agreed accounts were a true reflection of the year, JT proposed and FJ seconded, Chair signed off accounts on behalf of the PC. Old Weston Parish Council Standing Orders - all councillors had now reviewed the final draft of the new STO's and all agreed these as a working document and were approved for use. They should however, be monitored, reviewed and changed as necessary. Clerk asked permission to pay her annual wages and passed round annual time sheet for review, DT and FL approved payment of £706. Complaint letter: Chair read a letter from Mrs Cameron regarding an item in the Old Weston Parish Council news letter last October 2007, after discussion clerk was asked to respond. Items for next agenda: Review grass and paths cutting. Meeting closed at 9.15pm
